How to enable Mailbox Archive [EAC] - While the Mailbox size exceeds

Root Cause:

  1. The user mailbox full.
  2. 50GB is the maximum storage limits for normal user.
  3. Microsoft 365 Business basic plan contains 50 GB of mailbox size for the users.


Use cases:

To provide organizations with a way to efficiently manage and store older or less frequently accessed emails

Extended Storage for Mailboxes:

The Mailbox Archive feature provides additional storage space for users beyond their primary mailbox quota. This helps prevent users from reaching their mailbox size limits and reduces the need for them to delete or manually archive emails to free up space

Improved Mailbox Management:

By automatically moving older or less accessed emails to the archive, the primary mailbox is kept more organized and manageable. This reduces clutter and helps users find current and relevant emails more easily

How to enable the Mailbox archive

Follow the below steps to enable the option-
  1. Access the Exchange Admin Center (EAC)
  2. Open your web browser and go to the Exchange Admin Center URL. This typically looks like:
    Exchange admin center (microsoft.com)
  3. Log in with your administrative credentials.
  4. Navigate to Recipients --> Mailboxes.
  5. On the right side search for the user.
  6. Find the mailbox to enable the archive.
  7. Click on the user’s name to open the mailbox properties.
  8. Select the Others option --> Mailbox archive --> Click on Manage mailbox archive -->  Enable the feature (If needs provide the name of the folder to archive the mails).


 

Confirm the Action.

  1.  A confirmation dialog will appear. Click “Yes” to confirm that you want to enable the archive mailbox for this user.
  2. The EAC will now start the process of creating an archive mailbox for the selected user. This process might take a few minutes to complete.

Verify the Archive Mailbox

  1. Once the archive is enabled, the status under the "Archiving" section will change to “Enabled.”
  2. For further verify by checking the user’s Outlook or Outlook on the web (OWA). The archive mailbox should appear as a separate mailbox or folder structure.

Test result : after successfully enabled the Mailbox archive

As below screenshot, user mailbox size decreased and moved the older or less frequently accessed emails to the Archive folder. And this can accessible webmail and outlook.
