Common Reasons for RMA Rejection

Purpose

Info
This article outlines the most common reasons why RMA requests are rejected. Understanding these reasons helps Technical Support teams reduce claim delays and improve first-time approval rates.

Physical Damage

RMA requests are rejected when the product shows signs of:
  1. Broken or cracked PCB
  2. Bent or broken pins
  3. Burn marks
  4. Liquid damage
  5. Deep scratches or impact damage

No Problem Found (NPF)

The product functions normally during vendor testing, and no fault is detected.
  1. Verify the issue before raising an RMA.
  2. Perform basic troubleshooting and testing.

Customer-Induced Damage

Damage caused by:
  1. Improper installation
  2. Mishandling
  3. Unauthorized repair attempts
  4. Electrical surge or incorrect power supply

Missing or Incomplete Information

An RMA may be rejected if required documents are missing, such as:
  1. Purchase invoice
  2. Serial number
  3. Product images
  4. Fault description
  5. Required troubleshooting details

Warranty Expired

Products that are outside the manufacturer's warranty period are not eligible for RMA.

Tampered Product

Claims may be rejected if:
  1. Warranty seal is broken
  2. Serial number label is missing or altered
  3. Product has been modified

Accessories Missing (When Required)

Certain manufacturers require the product to be returned with:
  1. Original accessories
  2. Power adapter
  3. Cables
  4. Other specified components

Unsupported Warranty Region

Products purchased from another country or region may not qualify for local warranty service, depending on the manufacturer's warranty policy.

Improper Packaging During Transit

Products received with transit damage due to insufficient packaging may have their RMA rejected.
  1. Use bubble wrap and sturdy packaging.
  2. Pack the product securely to prevent movement during shipping.

Incorrect Product Category or Claim Type

Submitting an incorrect warranty category (DOA, RMA, Physical Damage, etc.) or providing inaccurate product information may lead to claim rejection.
